JOB SUMMARY

The Contract Administrator provides effective guidance and support to the Marketing Department by leveraging a comprehensive understanding of all Commercial Agreements and arrangements, and a solid understanding of Natural Gas, Crude, and NGL contract terms, conditions, and terminology. The Contract Administrator will assist with daily and long-term trade validation processes for all Business Units, review nonstandard contracts and assist Legal with drafting language to address unique contractual arrangements for agreements, amendments, asset management arrangements, etc. This role will complete Audit and SOX disclosures and testing, and complete monthly Accrual and Close processes.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Analyze deal confirmation terms for consistency with approved language. Work with Legal to draft language as needed to address unique arrangements. Prepare documents and route executables for signature
  • Review counterparty confirmations against commercial contracts and resolve issues related to discrepancies in a timely manner. Confirm executed deals including statement generation, matching terms, issuing confirmation, and addressing any discrepancies
  • Maintain master database of all company contracts including electronic and hardcopy originals
  • Maintain and track status of contract documents and ensure contracts are reviewed and approved internally and externally in accordance with Audit / SOX guidelines and requirements
  • Analyze, review and redline complex, non-standard agreements, amendments, and asset management arrangements. Draft amendments and non-standard language for contracts. Maintain communication with external counterparties throughout the contract preparation process and distribute executables
  • Draft and maintain contract summaries of key terms along with tracking of expirations, required notices, etc. Maintain and monitor all contracts to identify upcoming renegotiations and terminations
  • Assist with and complete counterparty set-up, counterparty maintenance, commodity deal entry and reconciliation in internal database
  • Provide customer service by responding to customer inquiries in a timely manner and addressing any raised issues
  • Coordinate gas sales information with customers, Account Executives, & Contract Administrators
  • Work closely with Trading and Scheduling to validate sales. Work closely with customers and Accounting to resolve price discrepancies
  • Prepare Force Majeure notices for company-operated assets and provide feedback to service providers. Distribute company generated Force Majeure notices and counterparty notices internally
  • Assist with Audit testing and review processes quarterly and annually. Ensure compliance with all SOX and Audit guidelines and requirements
  • Assist the Commercial team and other Marketing Department members in navigating internal credit limits and approval processes
  • Calculate and update manual pricing adjustments for complex pricing structures and deals
  • Complete monthly accrual and close to Accounting by coordinating with Volume Controllers and Manager, Product Allocation
  • Verify all applicable pipeline tariff rates monthly
  • Maintain and verify all Platts pricing data in internal database
  • Develop and coordinate enhancements to internal Marketing database
  • Assist in economic analysis for special projects for Marketing/Executive team
  • Assist in developing slides for quarterly Marketing presentations
  • Serve as backup to Contract Administrators in other Business Units as needed

  • Proficient experience with MS Word, Excel and PowerPoint

YEARS OF EXPERIENCE

3-5 years Contract experience, preferably Oil & Gas contracts

5+ years for Senior with Oil & Gas contracts experience


EDUCATION REQUIREMENTS

4 Year / Bachelor's Degree preferred; equivalent experience in lieu of education will be considered


TRAVEL REQUIREMENTS

Percent of Travel Required: Less than 5%; Travel may be required for required meetings or training


WORKING CONDITIONS AND PHYSICAL DEMANDS

Work is typically performed indoors in an office environment. Incumbents must be able to perform work which includes typing, sitting, and standing. In the event that incumbent visits operations worksite, personal protection equipment, including head protection, hearing protection, safety glasses, safety shoes, and flame-resistant clothing is required. Safety rules including OSHA and DOT requirements are strictly enforced. Employees must be willing to travel and work extended hours on short notice.
