Acara Solutions is seeking highly qualified candidates to work Hybrid with our client in Carrollton, TX. Interested?

Here's what you'd do:

  • This position will play a critical role in supporting all the administrative needs of the executive team.
  • Responsibilities will span a wide range of key tasks - managing multiple calendars, supporting audit administrative functions, assisting HR with new hire orientation, general filing, and pulling together professional presentations.
  • Support multiple executive leaders with administrative-related responsibilities.
  • Heavy Outlook calendar management.
  • Manage multiple calendars for leaders.
  • Scheduling, travel booking, and related activities.
  • PowerPoint document preparation.
  • Prepares/modifies documents including correspondence, reports, presentations, and emails.
  • Facilitate Teams and other meetings, including agenda and content development.
  • Taking detailed meeting minutes, assigning related tasks, and scheduling follow-up.
  • Support clients remotely primarily via Teams and be on camera.
  • Support administrative duties for the HR team while maintaining the highest level of confidentiality.
  • Set up and manage meetings.
  • Ensure all logistics are handled including but not limited to ordering meals, booking conference rooms, or external locations.
  • Support our Technology team with SOC admin-related tasks - storing documents and taking minutes for SOC 2, tracking, and following up with security training - SOC1/SOC 2, and digital storage of documents.
  • Lead or support company events like volunteering, team building, and social gatherings.
  • Receive and sort all company mail at our office facilities 1 - 2 times per week.
  • Send to appropriate contacts via FedEx or other mail.
  • Expense and reimbursement management.
  • Research and compile data/findings as requested.
  • Special projects as assigned.

Here's what you'll get:

Pay: $24.00 - $28.85 / hr.

Hours: 40 hrs/Week

Length: Contract to hire (6 Months)

Job Requirements
Required Skills / Qualifications:
  • High School Diploma or GED
  • Minimum of 3 years experience in supporting high-level company executives.
  • Minimum 3 years of administrative experience

Preferred Skills / Qualifications:
  • Possess high-level communication and interpersonal skills and be able to manage multiple priorities within assigned deadlines.
  • Excellent communication and interpersonal skills.
  • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, Teams).
  • Organizational and time management skills.
  • Detail-oriented and keen attention to accuracy.
  • Ability to analyze and problem-solve.
  • Creativity.
  • Ability to maintain confidentiality and handle sensitive information.
  • Have reliable internet connectivity.
  • Team player.

Additional Information:

  • Upon offer of employment, the individual will be subject to a background check and a drug screen.
  • Ability to walk around and move items as needed when in the office - setting up meeting rooms, meals, and such.
  • This role needs long periods of viewing a computer screen, working on a keyboard, and talking to various individuals.
  • Ability to support during regular daytime business hours with flexibility to occasionally support during non-business hours as needed.
